A Systematically guide for the Visa Application Process for Commercial Activities in China. By Dr. Muhammad Iqbal

Introduction

China's remarkable economic growth and vast market potential have made it an attractive destination for individuals seeking commercial opportunities. Whether you are planning to attend business meetings, explore potential partnerships, or participate in trade exhibitions, obtaining the appropriate visa for commercial activities in China is crucial. In this blog, I will try to guide reader through the visa application process, ensuring that you can unlock the doors to business success in the Middle Kingdom.

 Zero-step: Time Management.  

Time requirement for the process of visa application: After reading this blog, you will start collecting the document for application, it may need at least 2-3 weeks, particularly a letter of invitation for Pakistani applicant mainly needs 2-3 weeks to prepare. (Please see the 2.4. section for detail)  After submitting your online application, you need at least one-month time to get the appointment for interview. There is possibility you can proceed both steps in parallel, for example submitting your application and getting the letter of invitation simultaneously in this way you can cut your time to half. However, doing things in parallel, there is a risk involved that if you are not able to produce the required document (letter of invitation) you cannot book you appointment for next 3-days for your missed appointment day. In addition, if you are booking your appointment after 3-days, the booking-system will provide you available spot after 2-3 weeks so eventually it will take 7-8 weeks to get the interview slot. I defiantly recommend applying in parallel procedure and taking risk to save time.

1: Determine the Visa Type

For commercial activities in China, the most common visa category is the Business (M) visa. However, depending on the nature and duration of your intended commercial activities, other visa types such as the Work (Z) visa or the Exhibition (F) visa might be applicable. Research the specific visa requirements and restrictions on the official website of the Chinese Visa Application Service Center in your home country to identify the appropriate visa category.

2: Gather Required Documentation

Once you have determined the visa type, gather the necessary documentation to support your application. Typically, this includes a valid passport with at least six months of validity remaining, a completed visa application form (that you can print out after you apply on line), a recent passport-sized photograph, an invitation letter from a Chinese business entity, and additional supporting documents such as a business license, trade fair registration, or conference invitation. Carefully review the document requirements outlined by the Chinese Visa Application Service Center to ensure accuracy and completeness.

2.1. General Document

1.  Passport Original passport with at least six months of remaining validity and with blank visa pages, a colored photocopy of the passport's data page and the photo page if it is separate.

2.  Visa Application Form and Photo One completed Visa Application Form with a recent 6 momths colour passport photo (bare-head, full face) against a white background (size: 48mm x 33mm) attached. If the accompanying children on the same passport are also on the tour, their photos should be stuck on the Application Form, and related illustration is required. You have to complete an Online Application Form (where a Visa Centre provides such service), print it out and sign it. Please remember to bring the completed form to the Visa Centre to submit your application.

3.  Proof of legal stay or residence status (applicable to those not applying for the visa in their country of citizenship). Non-Japan citizens shall provide documents that entitle them to reside for an extended period of time in Japan provide original and photocopy . Temporary visitors to Japan should apply for a Chinese visa in their own country. For the special cases, consular officer has the rights to make the final decision on whether issuing a visa or not.

4.  Photocopy of previous Chinese passports or previous Chinese visas (applicable for those who were Chinese citizens and have obtained foreign citizenship). If you are applying for a Chinese visa for the first time, you should provide the last Chinese passport held and a photocopy of its data page.If you have obtained Chinese visas before and apply for a Chinese visa with a renewed foreign passport that does not contain any Chinese visa, you should present the photocopy of the previous passport's data page and the photo page if it is separate, as well as the previous Chinese visa page (If your name on the current passport differs from that on the previous one, you must provide an official document of name change).

2.2. Documents on the commercial activity

Mainly are those document issued by a trade partner in China, or trade fair invitation or other invitation letters issued by relevant entity or individual. The invitation letter should contain:

1.  Information on the applicant (full name, gender, date of birth, etc.)

2.  Information on the planned visit (purpose of visit, arrival and departure dates, place(s) to be visited, relations between the applicant and the inviting entity or individual, financial source for expenditures)

3.  Information on the inviting entity or individual (name, contact telephone number, address, official stamp, signature of the legal representative or the inviting individual)

2.3. Documents for multiple entries visa application,

1.  Prepare to provide the photocopy of your recent F or M visa.

2.      Unless the original version is required in particular, the invitation letter may be in the form of fax, photocopy or computer printout.

3.  If necessary, the consular officer may require the applicant to provide other proof documents or supplementary materials, or require an interview with the applicant.

4.  The consular officer will decide on whether or not to issue the visa and on its validity, duration of stay and number of entries in light of specific conditions of the applicant. 

2.4. Documents for Pakistani National. Invitation letter approved by Foreign Affair Office in China

This special step/document required for Pakistani Nationals. Your inviter must apply on at  local Foreign affair office in China for the approval of your visit. You need to provide following information to your invitee. This may need additional 3-4 week procedure.

1.  Get the Visa authority: This document stated that you are applying for the visa to China.  This document is issued by Embassy of the People’s Republic of China in Japan, you need to visit China embassy and get the document.

2.  Visit schedule

3.  Copy of the passport first page

4.  Copy of residence permit in Japan

5.  Your working address and Tel number

6.  After you back to Japan, please be sure to provide us the scanned copy of the Entry/Exit record page and visa page. (it’s important, your invite need to give feedback to government)

7.  There are other documentation required for your invitee to submit like business license, statement, etc to get approval.

You invitee need to provide all the information to Foreign Affair Office. After rounds of upward approval, your invitee will final get the invitation letters from municipal government. After having this document copy/original. You are all set to get the visa.  

3. Fill out the Application Form

Fill the online application form on the Chinese Visa Application Service Center website and fill it out accurately and comprehensively. Pay close attention to each question and provide all required details. After filling a link will be shared with you to print the document. After that webpage will direct you to the next step of book your appointment of submission and interview. Applicants may need to schedule an appointment for submission of hardcopy of the application form and with some original/copies document (where it is required) in-person interview at the Chinese Visa Application Service Center. A second link will be shared with on your email about your booked date and time. You need to get it printed as well with your application form.  Prepare all the required documents and be ready to present them during the interview.

4. Submission of application form – hard copy and Interview at Chinese Visa Application Service Center (in Odaiba)

Prepare the hard copy of your application form appointment letter (where date and time is mentioned). Also, prepare a full day and stamina for standing for at least 4h. Try to book your appointment early time (9AM and reach there 8AM) so that you can bypass all delayed appointment.  After successful submission you may be asked for interview in same day or anyother day (in my case it was same day) If an interview is required, prepare for it by reviewing your application, supporting documents, and the details of your commercial activities in China. Dress professionally, arrive on time, and confidently answer all questions truthfully. Be prepared to discuss your business agenda, partnerships, and any other relevant information.

5. Track Your Application

After submitting your visa application, you can track its progress using the tracking number or reference provided. Stay updated on the status of your application and be prepared to provide any additional documents or information if requested by the Chinese authorities.

6. Receive the Visa

Once your visa application is approved, you will be notified to collect your visa or have it mailed to you. The date for collecting your passport is shown on the pick-up form issued to you on the day of application. Should there be any delay in processing and the passport cannot be returned to you as scheduled, the Visa Centre staff will notify you ASAP.  Otherwise, please go to the Centre to make payment and collect your passport with the pick-up form in a timely manner. You pay all the fees (112USD ~274USD depending upon your type of visa regular and express services etc)  on the day of collection. Before you make your visit to the Visa Centre to make payment and collect your passport. When you arrive at the Visa Centre, please, obtain a queue number for making payment and collecting your passport and wait for your number to be called. Present the pick-up form to the staff at the counter designated for handling the queue number. Make payment and get your payment receipt before collecting your passport. Please note the cashier counter and the collection counter are normally next to each other. Collect your passport by presenting the pick-up form and payment receipt. Please carefully CHECK all the particulars, such as your name, birth date, passport number, validity, number of entries, duration of stay on your visa, and let the staff know immediately if there is any problem. Failure to do so may lead to serious consequences.
